How to Write Effective Automated WhatsApp Responses for Website Inquiries

When someone clicks your WhatsApp button, they expect an answer fast. Automated responses make sure they get one, even when you are busy, away or asleep. Written well, they feel helpful and human. Written badly, they feel cold and push people away. Here is how to get them right.

Know which automations WhatsApp Business offers

The free WhatsApp Business app includes three useful tools:

  • Greeting message: Sent automatically when a new customer messages you for the first time, or after a period of inactivity.
  • Away message: Sent outside your set business hours or when you are unavailable.
  • Quick replies: Saved messages that you trigger yourself by typing a shortcut such as /hours or /delivery.

Larger setups using the WhatsApp Business Platform can add automated menus, chatbots and triggered messages through approved providers.

Principles of a good automated message

  1. Be quick and clear. Say who you are and confirm that their message arrived.
  2. Be warm and natural. Write the way you would speak to a customer in your shop.
  3. Be brief. Two to four short sentences is plenty. Long blocks of text are rarely read on a phone.
  4. Set expectations. Tell people when they will get a real reply.
  5. Offer a next step. Guide them to something useful rather than leaving them waiting.
  6. Never pretend to be human. If a message is automated, it is fine to sound friendly, but do not claim someone is typing when no one is.

Writing the greeting message

The greeting is your first impression, so keep it welcoming and useful. A simple example:

Hi, thanks for contacting Mwangi Interiors! A team member will reply within 10 minutes. In the meantime, could you tell us what room you’d like to redesign?

This acknowledges the visitor, promises a response time and asks a question that moves the conversation forward. Adapt the tone to your brand. A law firm may sound more formal, and a cafe more relaxed.

Writing the away message

Outside opening hours, the away message prevents silence. It should say that you are closed, when you will reply and what the customer can do now. For example:

Thanks for your message! We’re closed right now, but we open at 8am Monday to Saturday. We’ll reply as soon as we’re in. For prices and our location, see our website.

Honest timing builds trust. Only promise what you can deliver.

Create quick replies for common questions

List the questions customers ask most, then write a clear, friendly answer for each. Typical topics include:

  • Prices and packages
  • Opening hours and location
  • Delivery times and costs
  • Payment methods
  • Booking and cancellation rules
  • Warranty or returns

Save each as a quick reply with a memorable shortcut. Always personalise before sending by adding the customer’s name or a reference to what they asked. This keeps the response helpful and avoids a robotic feel.

Use questions to qualify

Good automated messages can start qualifying leads. Ask one easy question at a time, for example “What are you looking for today?” or “When would you like this delivered?” Keep each question simple and specific. If using a chatbot, offer reply options such as “1. Prices, 2. Book an appointment, 3. Speak to someone,” which makes responding effortless.

Reference the website source

If your website button pre-fills a message, such as “Hi, I’m interested in the wooden dining table,” your automatic reply can respond to it directly. For instance, “Thanks for asking about our wooden dining table! Would you like to know the sizes, price or delivery options?” This shows the visitor you have understood their interest.

Keep the tone human

Automation should save time without removing warmth. Avoid stiff corporate wording such as “Your query has been logged.” Use plain language, a friendly sign-off and, where appropriate, one emoji. Sign with a real name when you can, such as “Grace from the team,” so the customer knows a person is behind the account.

Avoid common mistakes

  • Overly long messages that bury the main point
  • Sending the same message repeatedly to one customer
  • Unrealistic promises such as instant replies at midnight
  • Ignoring replies after the automated message, which is worse than no automation
  • Spammy follow-ups that go beyond what the customer agreed to

Follow the rules

WhatsApp has policies about automated and promotional messaging. Business-initiated messages outside the customer service window generally require pre-approved templates and customer permission. Make sure you have consent, offer a clear way to opt out and follow your local data protection laws.

Test, measure and refine

Send yourself test messages and ask colleagues to try the flow. Then monitor how many conversations continue after the automated message, how quickly staff respond and what questions arise that your automation does not cover. Update your messages every month or two.

Effective automated WhatsApp responses do three things: they acknowledge, they set expectations and they point the way forward. Keep them short, warm and honest, and they will make every visitor feel noticed while you focus on the conversations that need a human touch.
